Crowdcast for Guest Speakers Guide

Everything you need to prepare for, join, and participate in a Crowdcast event as a guest speaker.

Before the Event - Checklist ✅

A few simple steps can help ensure a smooth experience during your session.

✅ Use a Supported Browser

For the best performance, use the latest version of:

  • Google Chrome

  • Microsoft Edge

  • Other Chromium-based browsers

Keeping your browser up to date helps prevent common audio and video issues.

✅ Use a Reliable Internet Connection

A stable internet connection is essential for high-quality audio and video.

We recommend:

  • A wired Ethernet connection whenever possible

  • Strong Wi-Fi if Ethernet is unavailable

  • Avoiding public or heavily shared networks

✅ Close Unnecessary Applications

Before joining your event:

  • Close unused browser tabs

  • Quit video conferencing apps you aren't using

  • Pause large downloads or uploads

  • Disable bandwidth-heavy background applications

This helps improve performance and reduce the chance of interruptions.

✅ Use Headphones When Possible

Headphones can help:

  • Prevent audio echo

  • Improve sound quality

  • Reduce feedback during the broadcast

✅ Check Your Camera and Microphone

Before joining:

  • Connect any external devices

  • Confirm your browser has camera and microphone permissions

  • Verify the correct devices are selected

Joining the Event as a Speaker

Use the event link provided by the host to enter the event.

As a speaker, once the host enters the greenroom, you'll be able to join the gallery before the event goes live. The host controls when to move a speaker from the gallery to the stage.

If You're Assigned the Speaker Role

  1. Enter the event as a speaker (the host assigns roles)

  2. If the host is in the greenroom (pre-show), as a speaker, you will automatically be moved to the gallery (below the stage). This is the area where the host moves you to the stage from, or they may have the speaker speak from the gallery. The audience cannot see who is in the gallery, but if your mic is active, you can be heard.

  3. If you're mic and camera have not been previously selected, review your setup in the AV Console.

  4. The host will decide when to move the speaker to the stage.

Tip: We recommend joining the event 10–15 minutes before your scheduled appearance so you have time to test your setup.

Review Your Setup in the AV Console

Before entering the stage, you'll see the AV Console.

Use this area to:

  • Preview your camera

  • Test your microphone

  • Select your camera, microphone, and speaker devices

  • Mute or unmute your microphone

  • Turn your camera on or off

  • Enable Music Mode when needed

Take a moment to confirm everything is working before joining the stage.

While You're On Stage

Manage Your Audio and Video

While on stage, you can:

  • Mute or unmute your microphone

  • Turn your camera on or off

  • Adjust your selected devices

Share Content

During the event speakers are able to:

  • Share your screen

  • Present slides

  • Control active media uploaded by the host from the media tray - depending on the permissions granted by the host

If you're planning to present content, coordinate with the host ahead of time to confirm whether you will be uploading and sharing your own slides, or co-managing slides that are active in the media tray.

Leave the Stage as a Speaker

When you're finished speaking, hover over the arrow in the top right corner of your tile on stage, and select move to gallery.

You'll continue watching the event from the gallery, unless the host decides to move you back to the stage, or ends the session.


Sharing Slides and Media

If the host has uploaded presentation materials and made them available to speakers, you can access and present them directly while on stage.

Troubleshooting

I Can't Join the Stage

Try the following:

  • Refresh the page

  • Re-enter the event from the original event link

  • Confirm camera and microphone permissions are enabled

  • Use Chrome or another Chromium-based browser

People Can't Hear Me

  • Verify the correct microphone is selected

  • Confirm you're not muted

  • Disconnect and reconnect audio devices

  • Refresh and rejoin the event

People Can't See Me

  • Verify the correct camera is selected

  • Check browser camera permissions

  • Turn your camera off and on again

  • Refresh and rejoin

My Audio or Video Is Lagging

  • Close unnecessary applications

  • Move closer to your Wi-Fi router

  • Disable VPNs when possible

  • Rejoin the event

Can I test my setup before the event?

Yes. We recommend testing your camera, microphone, internet connection, and any presentation materials before going live.

Can I share my screen?

Yes, if screen-sharing permissions have been enabled by the host.

Can I present slides?

Yes. Speakers can share their own slides. If the host has allowed access, speakers can also manage slides actively being shared.

Can I join from a mobile device?

A computer provides the most reliable experience for guest speakers, especially when presenting content.

What if I'm presenting music or performing live?

Enable Music Mode before joining the stage for the best audio quality.
