What is the Gallery?

This guide explains how people move between the Audience, Gallery, and Stage, what each group can see, and how to prepare speakers before they go live.

What is the Gallery?

The Gallery is an off-stage space for people contributing by camera or microphone. Use it to hold speakers, attendees, or co-hosts before bringing them on Stage. The Stage is what gets recorded and shown to the audience, but unmuted Gallery speakers are still audible.

The Gallery serves two main purposes:

Before going live

Use the Gallery to:

  • Prepare guest speakers.

  • Check cameras and microphones.

During the event

Use the Gallery to:

  • Prepare upcoming speakers while someone else is presenting.

  • Invite attendees to participate without immediately putting them on Stage.

Participants move through three main areas during an event:

Audience

People in the Audience can:

  • Watch the event.

  • Participate in the chat, Q&A, and polls.

  • Raise their hand to join the Gallery and Stage (if the host has enabled this).

Gallery

Before the event starts

People in the Gallery can:

  • Prepare before joining the Stage.

  • Confirm their camera and microphone are working.

  • Speak with hosts and other speakers while backstage.

During the event

People in the Gallery can:

  • See and hear the live event while they wait.

  • See and hear everyone else in the Gallery.

  • Speak with people on Stage and in the Gallery.

Stage

The Stage is the live broadcast that everyone watches.

Anyone on the Stage:

  • Appears in the live event.

  • Is included in the event recording.

📌 Important: Only people on the Stage are visible to attendees and included in the event recording. People who remain in the Gallery are never shown on screen. However, if their microphone is unmuted, the audience will hear them during the live event, and that audio will also be included in the recording.


Who can move people?

Hosts and co-hosts can move people between the Audience, Gallery, and Stage.

People in the Gallery or on the Stage can also choose to leave and return to the Audience if they no longer wish to participate on camera.


How do people get into the Gallery?

People can enter the Gallery in several ways:

  • A host or co-host moves them there.

  • They raise their hand and the host invites them.

  • They join the event as a Speaker or Co-host.

  • The event is using Open Stage, allowing attendees to join the Gallery themselves.


What do attendees see?

Attendees only see the Stage.

They cannot see who is waiting in the Gallery, making it an ideal backstage space for speakers to prepare before joining the live broadcast.


Frequently asked questions

Why am I in the Gallery when I joined?

You may enter the Gallery automatically if:

  • You've been invited as a Speaker or Co-host, so you can prepare before joining the Stage.

  • The event is using Open Stage, which allows attendees to join the Gallery themselves.

Why wasn't my guest in the recording?

Most likely, they remained in the Gallery instead of being moved to the Stage.

Only people on the Stage appear in the live broadcast and event recording.

Can people in the Gallery talk?

Yes. People in the Gallery can turn on their camera and microphone and speak with people on the Stage and with others in the Gallery. They are not visible to the audience unless they are moved to the Stage.

Can attendees see the Gallery?

No. Attendees join events in the Audience, so they cannot see the Gallery by default.

The Gallery is only visible to:

  • Hosts

  • Anyone who has been moved into the Gallery

Only when they are moved to the Gallery can they see the others that are in there too.


Tips for Hosts

💡 Before going live, make sure everyone who should appear in the recording has been moved to the Stage.

💡 Ask guest speakers to join a few minutes early so you have time to check their camera and microphone in the Gallery.

💡 If someone is missing from your replay, first check whether they were ever moved from the Gallery onto the Stage.
