How to Run a Test Event

Testing your event setup on Crowdcast ensures a seamless experience for both you, your guest speakers, and your attendees.

1. Why Run a Test Event?

Running a test event allows you to:

  • Familiarize yourself with Crowdcast features and tools.

  • Check your audio, video, and presentation quality.

  • Test integrations (e.g., slides, polls, third-party tools).

  • Ensure all technical components function correctly.

  • Practice your flow and timing for the live event by yourself and with teammates.


2. Creating a Test Event

Steps to Create a Test Event:

  1. Log in to Crowdcast: Navigate to your Crowdcast dashboard.

  2. Click "New Event": Create a new event as you would for your live session.

  3. Set Privacy: Mark the event as Unlisted to limit access.

  4. Choose a Title: Add "Test" to the title (e.g., "[Event Name] Test").

  5. Adjust Settings: Configure settings like attendee permissions, chat, polls, and Q&A to match your planned live event.

  6. Save the Test Event: Once set up, save your test event and proceed to the event dashboard.


3. Preparing for the Test

Checklist:

  • Devices: Use the same device(s) and internet connection you plan to use for the live event.

  • Browser: Ensure you’re using a supported browser.

  • Audio/Video Equipment: Check that your microphone and camera are properly connected.

  • Presentation Materials: Upload slides, videos, or other media in advance.

  • Invite Co-Hosts/Presenters/Speakers: Add team members or collaborators to test multi-presenter functionality.


4. Conducting the Test

During the Test Event:

  1. Go Live: Start the event and test going live.

  2. Check Audio and Video: Ensure audio and video quality are clear and stable.

  3. Practice Engagement Tools:

    • Test chat, polls, and Q&A features.

    • Add a call-to-action (CTA) button if applicable.

  4. Test Screen Sharing: If you’ll be sharing your screen, verify the process and resolution.

  5. Run Through the Agenda: Practice transitions between segments, speakers, and media.

  6. Simulate Attendee Experience: Use a second device or account to view the event as an attendee.


5. Review and Adjust

After the Test Event:

  • Review Recording: Watch the replay to identify any issues.

  • Gather Feedback: If co-hosts or team members joined, ask for their input.

  • Refine Your Setup: Adjust audio, visuals, or event flow based on findings.


6. Additional Tips

  • Schedule the Test in Advance: Give yourself ample time to resolve any issues before the live event.

  • Test Multiple Scenarios: If your live event has multiple presenters or segments, test them all.

  • Keep It Simple: Use this as an opportunity to streamline your presentation flow and reduce potential technical issues.

  • Keep in mind that time used testing live does count towards your monthly usage.

  • Any time in the greenroom (not live) does not count towards your monthly usage.
