How to Cancel, Delete, Archive or Permanently Remove your Crowdcast Event

Learn how to cancel, delete or archive your Crowdcast event, notify attendees, and manage refunds through Stripe.

Need to cancel an event, remove it from public view, or clear it out entirely? Here’s a quick guide to managing your event’s lifecycle on Crowdcast.

🔥 Cancel or Delete an Event

  1. Log in to your Crowdcast dashboard.

  2. Head to your My Events page.

  3. Find the event you want to remove.

  4. Open the Actions dropdown and choose Delete.

If the event is scheduled for a future date, all registered attendees will receive an email notification about the cancellation.


❌ Permanently Delete an Event

When you delete an event, it moves into a "soft deleted" state for 30 days—giving you time to change your mind.

  • To permanently delete it right away, you can view the deleted events '...' top right of your dash:

    • Open the event and choose Permanent Delete, or

    • Find it in your dashboard (under deleted events) and choose Permanent Delete from the menu.

⚠️ Important: Once an event is permanently deleted, it cannot be recovered. Be absolutely sure before you confirm this step.


📦 Archive Instead (If You Might Need It Later)

If you don’t want attendees to see your event but still want to retain access, archiving is a great option.

  • Archived events are hidden from attendees but still visible to you and your teammates.

  • You can unarchive events at any time.

  • Attendees are notified if you archive an event that’s still upcoming.

💡 Example Use Case:

If you run a paid annual event like a Holiday special, you can archive it during the off-season. When you're ready to promote and sell tickets again, just unarchive it.

Follow these steps to archive an event.


📨 What Attendees Receive

When you cancel or archive a future event, all registered attendees will get an automatic email update.

  • If the event is already in the past, attendees will not be notified of deletion or archiving.

  • It’s the host’s responsibility to keep attendees informed about any changes to their event. If you’ve sold tickets, we especially recommend sending a direct email update to attendees explaining the changes and next steps. Clear communication goes a long way!
