If you wish to make the replay of your event inaccessible to attendees, you can archive your event. This will ensure that only you as the host or any channel-level teammates you've added can see the replay.
To archive an event from your My Events dashboard, go to the specific event and open the Actions dropdown. Select Archive Event.
To archive an event from within the event, click on the Options button from the top right corner. Select Archive Event.
Confirm that you'd like to archive the event and then you're done!
If you’ve made a mistake and want to make your event available again, you unarchive it from the same locations.
Important Reminder for Hosts when Archiving Events
If you cancel your plan, let it expire, or delete/archive an event, please remember that it’s your responsibility to notify all registered attendees—especially for paid events.
Once an event is deleted or archived, attendees will no longer have access, and only the channel owner can restore or grant access.
When an event that was in the past is archived/deleted, attendees won’t be notified by Crowdcast.
Crowdcast does not issue refunds for paid events, so any necessary refunds will need to be handled directly by the host.
To ensure a smooth experience for your attendees, we recommend giving them a heads-up before making any changes to your plan or event availability.
You can communicate with registrants of past events in several ways BEFORE you archive your event:
Email via Crowdcast – Use the "Email Registrants" feature from within events.
CSV Export or Zapier – Export registrant emails.
Social Media/Community Groups – Share updates in Facebook Groups, Discord, etc.
Direct Email – If you collected emails separately, send an update via your email provider.
